At AEPFirm, we are committed to providing quality wholesale, liquidation, and OEM/ODM products to importers, distributors, retailers, and resellers worldwide. Due to the nature of wholesale and liquidation inventory, this Refund and Returns Policy outlines the conditions under which returns, replacements, credits, or refunds may be granted.

By placing an order with AEPFirm, you agree to the terms outlined below.

1. Overview

AEPFirm specializes in:

  • Wholesale merchandise
  • Liquidation inventory
  • Overstock products
  • Customer return lots
  • Closeout merchandise
  • CCTV and security systems
  • Electronics and accessories
  • Home appliances
  • OEM/ODM manufacturing
  • Private label products

Because many products are sold in bulk, liquidation, or closeout condition, returns are limited and subject to review.

2. All Sales Are Final for Liquidation Inventory

Unless otherwise stated in writing, the following products are sold “As-Is” and are generally non-returnable and non-refundable:

  • Liquidation pallets
  • Overstock inventory
  • Customer return merchandise
  • Shelf-pull products
  • Closeout inventory
  • Clearance items
  • Bulk lots
  • Auction purchases

Product quantities, packaging, model variations, and item assortments may differ from supplier manifests or estimates.

Buyers are responsible for reviewing product descriptions before purchasing.

3. Eligible Return Situations

A return or claim may be considered only if:

Incorrect Product Received

The delivered item substantially differs from the item ordered.

Shipping Damage

Products arrive visibly damaged during transportation.

Missing Items

Items listed on the invoice are missing from the shipment.

Manufacturing Defects

New products sold with manufacturer warranty coverage arrive with verified manufacturing defects.

4. Return Request Timeframe

Customers must submit return or damage claims within:

  • 48 hours of delivery for shipping damage.
  • 5 business days of delivery for missing items.
  • 7 business days of delivery for incorrect shipments.

Claims submitted after these periods may not be accepted.

5. Required Documentation

To process a claim, customers may be required to provide:

  • Order number
  • Invoice copy
  • Delivery receipt
  • Photos of packaging
  • Photos of damaged items
  • Product serial numbers (if applicable)
  • Detailed description of the issue

AEPFirm reserves the right to request additional information before approving a claim.

6. Return Authorization

No returns will be accepted without prior written authorization from AEPFirm.

If approved:

  • A Return Merchandise Authorization (RMA) number may be issued.
  • Returned items must be shipped according to provided instructions.
  • Unauthorized returns may be refused.

7. Condition of Returned Products

Approved returns must:

  • Be in original condition whenever possible.
  • Include all accessories and packaging.
  • Be free from misuse, modification, or unauthorized repairs.
  • Be securely packaged for return shipping.

Items damaged due to customer misuse are not eligible for refunds or replacements.

8. OEM/ODM and Private Label Orders

Customized products are generally non-refundable and non-returnable, including:

  • Private label products
  • Custom packaging
  • Custom branding
  • OEM-manufactured goods
  • ODM-developed products
  • Customized electronics or CCTV products

Once production begins, deposits and development costs are typically non-refundable.

Exceptions may be considered only in cases of verified manufacturing defects or production errors caused by AEPFirm.

9. Refund Process

If a refund is approved, AEPFirm may choose one of the following remedies:

  • Full refund
  • Partial refund
  • Replacement product
  • Store credit
  • Credit toward future purchases

Refund decisions are made at AEPFirm’s sole discretion based on the circumstances of the claim.

10. Refund Processing Time

Approved refunds are generally processed within:

5–15 business days

Processing times may vary depending on:

  • Banking institutions
  • Payment providers
  • International payment processing systems

Shipping costs, customs fees, duties, and handling charges are generally non-refundable unless the return resulted from an error made by AEPFirm.

11. Shipping Costs for Returns

Customer Responsibility

Customers are responsible for return shipping costs unless:

  • The wrong item was shipped.
  • The item arrived damaged due to carrier handling.
  • AEPFirm made an order fulfillment error.

AEPFirm Responsibility

If the return is approved due to our error, AEPFirm may reimburse reasonable return shipping expenses or provide a prepaid shipping label.

12. Order Cancellations

Before Shipment

Orders may be cancelled before shipment subject to approval.

After Shipment

Orders cannot be cancelled once shipped.

Custom Orders

OEM/ODM and private label orders cannot be cancelled after production has started.

13. Warranty Disclaimer

Unless explicitly stated otherwise:

  • Products are sold without additional warranties from AEPFirm.
  • Manufacturer warranties, if available, remain the responsibility of the manufacturer.
  • AEPFirm does not guarantee future product availability, compatibility, or market performance.

14. Chargebacks and Disputes

Customers agree to contact AEPFirm first to resolve any concerns before initiating chargebacks or payment disputes.

Fraudulent chargebacks may result in:

  • Account suspension
  • Collection efforts
  • Legal action where permitted by law
